At the Kenshinkan Dojo we have a clear vision of what we want to achieve and the legacy we’d like to create.

Complaints and Disputes

Our club has a complaints procedure in place and will always strive to provide the best service to its students and associated community members. Should you have a complaint about our conduct or service please contact us at kenshinkandojouk@gmail.com and request our complaints procedure. All complaints are dealt with confidentially and are always followed up.

Instructor Insurance

Our club ensures that all instructors are fully insured. A copy of any relevant insurance documentation is available on request.

Instructor Grades

Our club ensures that all our instructors are qualified to or above the minimum standards expected of our associations, which is 1st Dan or equivalent.

First Aid Status

Our club ensures that all instructors are first aid trained to an acceptable standard and sufficient emergency equipment is present at all classes. A risk assessment and associated health and safety briefs are conducted prior to classes commencing.

Professional Association Memberships

Our club is a registered member of the Japanese Budo Association UK which can be verified by visiting www.japanesebudo-assoc.com/english-page/ and selecting Dojo information.

Our instructors are all registered in the UK with the BMABA which can be verified by visiting www.bmaba.org.uk/verify.

Fees and Charges

Our club does not have any hidden costs. All money is payable direct to our club bank accounts or in cash when due.

Our current prices are available on request.

You are not bound by any contract and may discontinue training at any time.

Independence Status

Our club is associated with professional associations to ensure our standards are some of the highest available, however we remain legally independent and are not submitted to any compulsory regulation or obligation under any of the above-named associations.

Accordingly, it is our responsibility to comply with local and national laws and regulations. There is no recourse to our representing organization in the event of any breach of law, regulation or protocol. We retain the right to an independent club and govern ourselves by best practice whether we are inside or outside the membership or affiliation of any above-named governing bodies.

Reporting our club

There is no single regulatory body for all styles of martial arts in the United Kingdom.

Accordingly, if you wish to report our club you are first asked to honour our complaints procedure which will detail how you may raise any complaints with us, and what action we will take. This complaints procedure will also detail any specific organisation that we are associated with, and instructions on making a complaint to that body.

You may report us to our Association however your complaint may not be properly investigated if you have not followed initial guidance on making a complaint as per our complaint’s procedure. If you wish to make a complaint, please contact us at kenshinkandojouk@gmail.com

Photography and Videogrophy Policy

The Kenshinkan Dojo is committed to providing a safe environment. An essential component to this commitment is to ensure that all necessary steps are taken to protect people from the inappropriate use of their images and/or videos in resource and media publications, on the internet, and elsewhere.

Accordingly, The Kenshinkan Dojo has adopted our Photography & Videography policy to enable us to clearly set expectations and controls in place to protect our members.

Publishing Images & Videos on Social Media, Websites or Marketing Material

Before images or videos are published by the club and/or any students, parents or spectators, please ensure the following:

  • Written permission has been obtained from the participant.
  • Images and videos must be suitable for their intended purpose and must only show participants and other club members appropriately dressed.
  • Must not contain any obscene, foul or offensive behaviour and/or language.
  • Where imagery or videography will be used on promotional material including websites or printed literature, specific consent will be sought from those identifiable in advance.

Videoing as a coaching aid

Video can be a legitimate coaching aid for clubs and instructors. We will ask for written consent to use video as part of your coaching programme; all videos will be stored safely and destroyed when no longer needed

Social Media Policy

The Kenshinkan Dojo understand everyone involved in martial arts must recognise that the responsibility to safeguard exists both in and out of the dojo. Instructors, assistant instructors and volunteers within Kenshinkan Dojo must take responsibility for ensuring this happens.

Kenshinkan Dojo should:

  • Refrain from publishing comments about other clubs, participants or instructors and any controversial or potentially inflammatory subjects.
  • Avoid hostile or harassing communications in any posts or other online communications. Harassment is any offensive conduct based on a person`s race, sex, gender identity, national origin, colour, disability, age sexual orientation, veteran status, marital status, religion or any other status identified by The Equality Act 201
  • Identify all copyrighted or borrowed material with citations and links. When publishing direct paraphrased quotes, thoughts, ideas, photos or videos, give credit to the original publisher or auth
  • If it maintains a website, blog, chat room, video-sharing site, bulletin board or other social media that promotes their club, should remember they are responsible for reviewing responses to online posts and resolving any concerns about the propriety of the responses before they are posted.
  • If a blogger or any other online participant posts an inaccurate, accessory or negative comment about the club or anyone associated with the club, do not respond to the post and contact BMABA for guidance.

Employee or Volunteer whether full time or Part time must not:

  • Use text or emails for personal conversations, sending pictures, jokes or other items of a personal nature or engage in any ‘banter’ or comments with or about children at the club.
  • Use internet or web based mobile phones or other form of communications to send personal messages of a non-martial arts related nature to a child or young perso
  • Respond to emails or texts from young people other than those directly related to club
  • Use language that is directly (or could be misinterpreted as being) racist, sexist, derogatory, threatening, abusive or sexualised in t
  • Post personal comments in relation to the management or operation of the club, association officials, instructors, children, parent/guardian or other clubs or any family members of those grou
  • Delete any inappropriate text or email messages sent to you as they may form part of any subsequent investigation.

Discrimination is unequal or differential treatment which leads to one person being treated more or less favorably than others are, or would be, treated in the same or similar circumstances on the grounds of race, sex, pregnancy and maternity, marital or civil partnership status, gender reassignment, disability, religion or beliefs, age or sexual orientation. Discrimination may be direct or indirect and includes discrimination by perception and association.

Direct Discrimination

This occurs when a person or a policy intentionally treats a person less favorably than another on the grounds of race, sex, pregnancy and maternity, marital or civil partnership status, gender reassignment, disability, religion or beliefs, age or sexual orientation.

Indirect Discrimination

This is the application of a policy, criterion or practice which the club applies to all students or clients, but which is such that:

  • It is it detrimental to a considerably larger proportion of people from the group that the person the club is applying it to represents.
  • The club cannot justify the need for the application of the policy on a neutral basis; and
  • The person to whom the club is applying it suffers detriment from the application of the policy.

Example: A requirement that all 1st Dan promotions must be 6ft tall if that requirement is not justified by the technical or physical requirements of the style would indirectly discriminate against students with an oriental ethnic origin, as they are less likely to be able to fulfil this requirement.

Harassment

This occurs when a person is subjected to unwanted conduct that has the purpose or effect of violating their dignity or creating an intimidating, hostile, degrading, humiliating or offensive environment.

Victimization

This occurs when a person is treated less favorably because they have bought or intend to bring proceedings, or they have given or intend to give evidence.

Unlawful Reasons for Discrimination

Sex

It is not permissible to treat a person less favorably on the grounds of sex, marital status, civil partnership, pregnancy or maternity, gender reassignment or transgender status. This applies to men, women and those undergoing or intending to undergo gender reassignment. Sexual harassment of men and women can be found to constitute sex discrimination.

Age

It is not permissible to treat a person less favorably because of their age. This applies to people of all ages. 

Disability

It is not permissible to treat a disabled person less favorably than a non-disabled person.  Reasonable adjustments must be made to give the disabled person as much access to any services and classes, including the opportunity to grade or to be promoted as a non-disabled person or with such reasonable adaptions to provide parity.

Race

It is not permissible to treat a person less favorably because of their race, the colour of their skin, their nationality or their ethnic origin.

Sexual Orientation

It is not permissible to treat a person less favorably because of their sexual orientation. For example, a club cannot refuse to teach a person because s/he is homosexual, heterosexual or bisexual.

Religion or Belief

It is not permissible to treat a person less favorably because of their religious beliefs or their religion or their lack of any religion or belief.

Reasonable Adjustments

The Club has a duty to make reasonable adjustments to facilitate the teaching of a disabled person.  If a student has a disability and feels that any such adjustments could be made by The Club, they should contact the Designated Officer.

Responsibility for the Implementation of this Policy

All instructors, assistant instructors and volunteers of The Club are required to act in a way that does not subject any other students, volunteers or instructors to direct or indirect discrimination, harassment or victimization on the grounds of their race, sex, pregnancy or maternity, marital or civil partnership status, gender reassignment, disability, religion or beliefs, age or sexual orientation.

The co-operation of all students and instructors is essential for the success of this Policy. Senior belts are expected to follow this Policy and to try to ensure that all lower grades, volunteers and starters do the same.

Students and clients may be held independently and individually liable for their discriminatory acts by The Club and in some circumstances their right to train may be revoked.

The Club takes responsibility for achieving the objectives of this Policy, and endeavors to ensure compliance with relevant Legislation and Codes of Practice.

In the event that a student is the subject or perpetrator of, or witness to, discriminatory behavior, please refer to the Club Equality Officer.

Students may contact their club or association if access to such an individual is possible.
